* Process incoming file requests for upcoming reviews and original file returns to former clients
* Research, coordinate, and retrieve files from offsite storage facilities
* Locate and compile archived digital records from multiple systems and databases
* Organize and consolidate documents into complete digital client files
* Maintain accurate records of file requests, transfers, and returns
* Ensure confidentiality and security of sensitive client information at all times
* Disassemble, scan, copy, and reassemble estate planning files of various sizes and formats
* Identify, separate, and organize documents during the scanning process
* Create and maintain accurate digital records within the firm's document management systems
* Link scanned documents and digital records to the appropriate client files and databases
* Assist with large-scale file indexing and document management projects
* Communicate professionally with current and former clients regarding file requests and returns
* Collect required documentation and identification related to file release requests
* Facilitate and track the return of files through digital delivery and mail services
* Provide copies of records to internal staff as needed
* Coordinate file-related projects, including integrating records from acquired practices
* Assist management in identifying and implementing more efficient processes and procedures
* Serve as the first point of contact for visitors when covering the front desk
* Greet and seat clients in a professional and welcoming manner
* Prepare and sanitize conference rooms between appointments
* Support the office team with additional administrative projects as assigned
* Minimum of 1 year of administrative, records management, or office support experience required
* Strong organizational skills and exceptional attention to detail
* Excellent verbal and written communication skills
* Ability to handle confidential and sensitive information with discretion
* Experience scanning, organizing, and maintaining digital records preferred
* Strong time management skills with the ability to manage multiple priorities
* Collaborative, team-oriented approach to work
* Proficiency with Microsoft Office and general computer systems required
* Bachelor's degree preferred but not required
